This Privacy Policy aims to inform you about the different types of data we collect, the purposes for which we use them, and the methods of processing. Furthermore, we inform you that Move UP is responsible for the processing of personal data and, where applicable, discloses the recipients or categories of recipients to whom such personal data are transmitted.
We ensure that the information you provide to us, or that we collect through various channels, is used solely within the scope of the purposes set out in this document. We collect data from:
- Candidates who contact us through our platform, our website, social media, or other sources;
- Candidates who apply spontaneously;
- Potential candidates we contact on behalf of employers to offer them a position;
- Clients and potential clients;
- Suppliers, service providers, and partners of Move UP;
- More broadly, users of our website and individuals seeking information about our company and assignments.
Who is Move UP?
Move UP SA is a Swiss company based in Gland (VD), founded in 2006. Its shareholders and directors are Swiss and live in the Canton of Vaud. Move UP specializes in the recruitment of executives, managers, and high value-added specialists. It also provides Assessment Center (AC) services, which evaluate the skills and potential of our clients’ employees. In addition, we conduct HR and organizational audits for private companies and public institutions.
Purpose of Data Processing
To carry out our assignments, we need information about candidates’ professional experience, education, skills, personality, culture, and values. This information is essential for us to both understand candidates’ career paths and skills, and ensure alignment with the culture, environment, and leadership style of the hiring companies.
The data we process allows us to support candidates in their job search or career management. We can provide advice and information on roles, companies, or organizations that match their profile and aspirations.
We use personal data in order to:
- Provide relevant job search services;
- Communicate with candidates or potential candidates within a recruitment process or for outreach purposes regarding job opportunities that may interest them;
- Enable job applications, provide advice, and share our expertise;
- Offer guidance on interviews, salaries, and other elements supporting career development;
- Contact individuals to determine whether they may be interested in our services and how we can support them;
- Provide individual candidate profiles assessed through our assessment centers.
How Are Personal Data Processed?
The security and integrity of personal data are a priority for Move UP. We comply with the applicable Swiss data protection legislation (LPD). We actively monitor developments in the LPD and regularly update our infrastructure, tools, and procedures to ensure that we collect and process personal data responsibly and securely.
As recruitment and HR specialists, we are committed to preserving the confidentiality of our candidates, clients, and suppliers whenever required.
Our IT service providers may also access some of this data, and must therefore comply with our confidentiality requirements and instructions.
Relevant Information We Need
In order to provide relevant information, we process the following types of personal data:
- Personal details: email address, phone number, postal address, age, nationality, work/residence permit, etc.;
- Personal aspects: education, languages, values, goals, motivations, career aspirations, personality profile, character, personal development information, etc.;
- Professional aspects: CV, diplomas, work certificates, recommendation letters, salary details, notice period, reasons for leaving, employment contracts or terminations, candidate references, etc.;
- Specific aspects depending on the position: a criminal record extract or debt collection register extract may be requested depending on client requirements.
We also keep a record of our communications with candidates and clients related to assignments they applied for or expressed interest in, as well as our notes and comments.
Candidate Information
We may also obtain personal data from third parties, such as referees or former employers, but only with the candidate’s prior consent.
We collect names, contact details, and professional background information from publicly accessible sources such as LinkedIn, CV websites, and social media, in order to contact candidates who may be interested in our services at a later stage. We may also obtain personal data through referrals from another candidate or employer.
In some cases, it may be necessary to obtain specific personal data. If the candidate does not wish to provide it, we may not be able to offer our services.
Sensitive Information
We are not authorized to process sensitive information, such as:
- Religious, philosophical, political, or trade union opinions or activities;
- Health information, intimate life, sexual orientation, or racial origin;
- Biometric data;
- Social assistance data.
Where permitted by law, however, we may collect health information (e.g. to support reasonable workplace adjustments) or details of unserved criminal convictions, when required by a client or in the case of an application with Move UP.
Clients & Potential Clients
We collect contact details and role-related data in order to establish business relationships with companies. We also process personal data related to our communications with them and any feedback they provide regarding candidates.
We may use this data to:
- Provide recruitment or other Move UP services;
- Communicate with companies;
- Collect feedback through client satisfaction surveys, to improve and develop services;
- Maintain business relationships;
- Respond to inquiries;
- Fulfill contractual obligations;
- Carry out business development activities.
Data Retention
We keep personal data as long as necessary to fulfill the purpose for which it was collected. In some cases, this may mean permanent storage if candidates wish us to keep their CV to support them long term and propose positions matching their profile and aspirations.
These data are updated in agreement with candidates.
Deletion of Personal Data
Anyone may contact Move UP SA at any time to request the partial or complete deletion of their personal data or withdraw their consent for processing.
Deletion takes a few days. In such cases, we will only keep the person’s name and the date of their request to ensure compliance in the future.
